Policies and Procedures

Order Acknowledgements to Customers:

Once the door list, machining sheets, templates, finish approvals and purchase order are in hand, the order can be acknowledged. The following will be returned to the customer for approval. The customer is responsible for acknowledging the correctness of:

  1. The number of doors on each item and the total orders
  2. Proper description and model number.
  3. Correct species of each item.
  4. Proper door sizes by item
  5. Proper machining specification.

All of the above items must be known to produce the order; therefore it is essential that approvals be returned or valuable time will be lost. Your ship date will not be given until the acknowledgement is returned and signed.

Upon receipt of your signed acknowledgement you will receive the ship date for the products. After acknowledgement, changes can sometimes be made; you will be responsible for all labor and material already in production and fees. The estimated ship date will be adjusted based on the change order.

Special Orders:

All orders of special nature, size, thickness, construction or cut are subject to special quotation and may not be cancelled after the acknowledgement has been signed.

Claims and Complaints:

If at the time a door shipment is received and any door is found to have a defect which can be reasonably discovered by inspection of that door, buyer must, prior to hanging or fitting and within 30 days of the date shipment is received, send written notice of the discovered defects to KARONA, Inc., P.O. Box 888410, Grand Rapids, Michigan 49588-8410. If a defect is discovered or occurs after a door is hung, written notice of the defect must be sent to KARONA within thirty (30) days from the date of shipment. Buyer shall not return any goods to KARONA until KARONA has been provided a reasonable opportunity to inspect the goods at Buyer's premises to determine whether a defect exists. KARONA shall not be liable for any doors repaired, returned or replaced without prior written consent.

Appearance:

All doors must be visually inspected for face grade, color and other product requirements by the customer prior to further work or installation. We are responsible for repairing or replacing material as originally furnished, in the white, unfinished not including reinstallation or finishing. If manufacturing defects are detectable only after sealing or staining (de-lamination), no additional coat of finish should be applied without the approval of the manufacturer. Doors must be sealed 3-5 days after receipt.

Force Majeure:

Seller shall have no liability for any delays or nonperformance due to strikes or other labor, disturbances, fire, flood, shortage of materials, delays in transit, force majeure, government priority or other regulations delay or failure by seller’s suppliers to deliver or other cause beyond sellers control or any other commercial impracticability whether similar or dissimilar to the forgoing.

Damage or Loss in Transit:

All shipment shall be F.O.B. Karona’s mill. In all cases, the buyer shall bear all risk of loss from the time the goods are delivered to a carrier or to buyer’s trucks, warehouse or jobsite destination; and buyer shall file and pursue all claims against carrier arising from damage to the goods while in their possession.

Prefinishing:

Factory prefinishing is available upon request and highly recommended. Please call your Karona representative for more information.

Field Finishing:

Finishing done at the jobsite or at customer’s shop shifts responsibility away from Karona Inc. Karona is not responsible for appearance of field finished doors. Doors if not already finished should not be considered ready for finishing as you receive them. Doors must be inspected for visual defects prior to finishing. The finisher MUST do a through final sanding over the entire surface of the door to remove handling marks, scratches, raised grain, burnished and effect of exposure to moisture that may occur during handling, unloading, and storage. Doors MUST be sealed within 3-5 days of receipt.
